Choose the document by the job
- Policy: purpose, scope, required outcome, responsibilities, boundaries, exceptions, and enforcement or escalation.
- Procedure: prerequisites, roles, ordered steps, decisions, systems, evidence, handoffs, and failure paths.
- Checklist: concise confirmations for critical steps, high-risk omissions, or recurring reviews.
Build control around the content
Assign a document owner and approver. Record the version, effective date, next review date, change history, related requirements, training audience, and authoritative storage location. Withdraw superseded versions so people do not follow conflicting instructions.
Test the document with the people doing the work
Observe a real or simulated use. Look for undefined terms, unavailable evidence, missing permissions, unclear decisions, duplicate data entry, and steps that rely on memory. Record corrections and retest after material process, system, legal, or organizational changes.
